If you have a type or size of client that you regularly send proposals to or perhaps you specialise in a particular industry, then you might want to make use of proposal templates.
There are two types of proposal templates, Pricing Templates and Design Templates. They are configured separately but can be used in conjunction with each other.
To access these, head to Practice Settings and locate them on the left hand side bar.
Setting up Pricing Templates
Pricing Templates enable you to turn the Services and Pricing section of a Proposal into a template.
Select +New to add a new template. From here you'll get the option to start by using a 'Blank Template' or copy the services and pricing from an 'Existing Proposal' that you might have already created.
From a Blank Template
Once you have selected this option, you'll need to give your Template a name and optional description. We'll then display your active Pricing ready for selection.
In the example below, I'm creating a template for construction companies because I usually quote the same services for companies within this industry.
Pick the services and drivers you want to include in your template, and we'll save your choices as you go. - Don't worry, you can quickly amend any of these drivers when creating a proposal for a specific client, drivers such as turnover or number of invoices are likely to change on a per client basis.
Once you've finished your selection you can exit and use it to create your first proposal.
From an Existing Proposal
If you've already created a Proposal that you'd like to turn into a template, then you can copy over the selected Services and Pricing from that Proposal, by searching in the 'Search Proposals' box.
The search will return any Proposals that a) have just 1 client and b) are on the latest pricing. Once you have selected the desired Proposal, press save.
You'll now see it listed in your Pricing Templates list:
Setting up Design Templates
These are setup in a similar way but relate more to the look and feel of the Proposal, these are the same options as on the 'Customise' page of proposal creation.
β
From Design Templates, select [+New] to add a new template. From here you'll get the option to start by using a 'Blank Template' or copy the design elements from an 'Existing Proposal' that you might have already created.
Approval Flow - Pick how you want to make the client aware of the Proposal. Email + summary or No Email. Bear in mind the first Proposal to a new prospect will require an email to be sent with a signature request
Proposal Introduction - Chose from your own Proposal introduction templates
Video Introduction - Add a Loom, Youtube or Vimeo video here to be used for this template
Proposal Approved - This content should include any next steps that the prospect/ client needs to know about
Practice Brochure - Choose a promotional Brochure from any already uploaded, or add new ones in the 'content' section
Testimonials - Pick the testimonials you want to include for this template
Additional Customisation - Decide on displaying prices, line items, GoCardless instructions and Proposal Title Images.
We'll save your Template changes as you go, so once you're happy you can leave the Template section. You can always revisit the Templates and edit them by clicking on the pen icon from the Template list.
To use your new templates, when creating a new Proposal, simply select them from the dropdown list.
