Welcome to Socket!

We are excited you have decided to power up your practice with Socket. This guide will walk you through setting up your account, configuring your practice, importing data, and creating proposals.

Your trial will start in "Playground Mode" which is indicated by an orange badge on the top banner. This mode lets you explore and test Socket without worrying about sending test emails to clients. It's a completely safe space to play around and we’ll only send emails to anyone with your domain.

Spend some time familiarising yourself with the main sections of Socket, these are "Clients," "Billing," "Settings," and "Home (Proposals)" Each section can be navigated to from the left hand menu bar.

When you are ready to start, head to the "Get Started"section the left hand menu. That along with the below notes, will guide you through the different areas of Socket and walk you though the setup steps needed to get you up and running.

We’ve broken this down into 5 steps:

1. Services and Pricing

Firstly, you’ll want to head to Pricing & Services, this is where you’ll set up how you charge for everything you offer. Click on "Settings" > "Services and Pricing.". {URL}

Switching from GoProposal?

Firstly you’ll need to head into GoProposal and download the pricing matrix PDF (you’ll find it at the bottom of the pricing configuration page).

Then head back into Socket and click "Import Pricing" and select the PDF file. Wait for the import process to complete, this should take about 30 seconds, depending on the complexity of your services.

Then review the imported services and pricing. Make sure everything looks right and is categorised correctly.

Whilst we bring through your pricing and price drivers, we don’t bring through the descriptions, use our intelligent AI wizard to generate service descriptions. You can always customise these descriptions to match your practice’s style and tone.

Create Pricing Manually

Click on "New Service" to create your services from scratch. Fill in details such as the service name, description, base prices and price drivers.

Use the Price Drivers to define pricing rules based on parameters like frequency (monthly, quarterly), volume (number of transactions, employees), and complexity (low, medium, high).

If price drivers aren’t required for a service, then turn ON fixed fee and enter your fixed price.

Other options here are Custom processes, recurring or one off fee.

2. Import Clients

There are 3 ways to get clients into Socket.

  1. Practice management integration

  2. Bulk import

  3. Create manually (on proposal creation)

If a Practice Management integration such as Karbon or XPM is in place then all your existing clients from that system will be available for selection when creating proposals.

Alternatively, you can chose to import all your existing clients via our upload template OR you can just simply add on new clients as and when you need to either re quote or issue a new engagement letter.

To bulk import new clients:

Navigate to the "Clients" section from the main dashboard.

Click "Import" and download the client import template (Excel file).

Fill out the template with your client information. Required fields include client name, company number (if applicable), status (active or prospect), primary contact name, and primary contact email.

Make sure all information is accurate and complete.

Clearly categorise clients as active (ongoing engagements) or prospect (potential clients).

This can then be used to filter on and will help you manage and prioritise your client relationships.

Save the completed template.

Upload Template

Click "Select File" and upload your filled out template. Wait for the import process to complete, the time it takes will vary depending on the number of records.

Once the file has been imported, check the client list for any errors or discrepancies. Please be sure to check and resolve any errors at this point before moving on.

Verify Client Data

Once you have imported your clients, you can click into the individual clients to verify the details that have been imported.

Ensure that company numbers correctly link to Companies House data (where relevant), this will populate additional company information automatically. This helps to keep your client data accurate and up-to-date.

Add or update primary contacts and any other relevant client details that has not been pulled from Companies House, via the import or from a direct integration.


3. Import Historical Proposals (Optional)

Historical Data Import

If you have historical proposals from another system like GoProposal, you can easily import them into Socket. This allows you to have historical visibility when creating renewals in Socket, and allows Socket to take over the monthly billing run if you chose this option.

In the "Home" section, click "Import" and select the CSV file containing your historical GoProposal data. Go to the Proposal tab, at the very bottom there is an export button. Select “line item” button and “created all time” you’ll then be sent an email with the file.

During the import process, map the fields from your CSV file to the corresponding fields in Socket. This will ensure the data is mapped correctly.

Review Imported Proposals

After importing, check the proposals for accuracy. Make sure all data is correctly mapped and no information is missing.

Imported proposals will be marked with an "imported" tag for easy identification.

Historical proposals are useful for maintaining billing consistency and referencing past agreements. Make sure all relevant historical data is accurately reflected.


4. Configure Your Practice Settings

Click on "Practice Settings" in the left-hand menu, under the “Settings” header. This is where you can customise Socket to fit your practice’s needs.

Manage Team

Head to "Manage Team" to view current team members and their roles.

Click "New" to add colleagues. Enter their email addresses and assign roles such as Member (basic access, create and send a proposal), Admin (member permissions), Owner (full access), or Apprentice (can draft but not send proposals).

Additional functionality here is that you can add team members without giving them a role, this could be useful for example if you want the Client Manager named on the proposal only.

Integrations

Navigate to "Integrations" under "Practice Settings." From here you can easily connect to these other software tools; Xero, Dext Precision, GoCardless, Karbon, and Zapier. You can utilise these integrations to aid seamless data flow and improved efficiency.

For example, our Xero Integration allows you to sync client data which can be used for proposal adjustments or fee changes and will enable you to manage your billing process.

Branding

Add your own brand logo, select colour schemes, and customise the appearance of proposals to match your branding. This is how you make Socket reflect your own brand, consistent branding helps build trust and recognition with clients.

Content and Communication

In this section you can set up standardised email templates for sending proposals, follow-up reminders, minor changes and other client communication. You can also add in dynamic tags throughout the text to customise the wording.

Hourly rates

Add in hourly rates for different roles within the business, if any of your pricing is charged by the hour. These can be selected on the proposal.

Testimonials

Include client recommendations or testimonials here. You can chose to add these to every proposal by default, or pick them at the point of proposal creation.


5. Document Templates

Creating a Letter of Engagement

Head to Document Templates and click “new”. You’ll then get the below choice of options:

Bring your own by starting with a Blank Template, or use the Socket Basic Template as a starting point.

And if you are looking for an integration with AML, Risk Assessment & Work Management systems, then Socket Engage will be here shortly!

Remember to include the "+ Add Schedule of Services" if you want this wording to populate automatically from your Schedule of Services Templates.

When finished click save then head back to the Document list and remember to click the play icon to publish.

Building your Schedule of Services

In socket, we use Service Schedule Templates for managing the wording that relates your specific services, that needs populating on the Engagement Letter:

It allows you to create reusable wording that can be applied to multiple services

Go to “Settings” and then “Service Schedule Templates” to create one and then head back to the specific service in “Services & Pricing” and select it from the drop down list, under the section:

Letter of Engagement - Schedule of Services.

Once you have completed these 5 steps… you'll be be ready to start creating proposals in Socket! Remember, don’t worry if you are in playground mode, any “test” proposals will not be sent to the client.

To create a test proposal there are two different options:

  1. Set the client email address as one of your “safe” email addresses while in Playground mode. This can be any email address in your practice’s email domain (such as your own email address). Emails in your email domain will get sent out, so you can get the full client experience.

  2. Use the “Share via a Link” option to get a magic link to the proposal approval process. Log out of Socket (or use an incognito window in your browser) and paste the link into your browser’s address bar.

When testing, remember to go through the proposal approval steps (including signing!) and get familiar with the process. Adjust the proposal settings in your practice settings area to see how they are reflected in the customised client experience.
