Importing and Bulk Sending Engagement Letters

How to create engagement letters in bulk from a spreadsheet, and send the imported drafts to clients together.

Written by Amy Mall

Engagement letters can be created in bulk from a spreadsheet or CSV, then bulk sent to clients together from the Engagement Letters page. Every imported letter is create as a draft, so nothing reaches a client until you send it.

This feature is currently in beta testing. Contact us on the support live chat to get it enabled for your account.

Before you import

Two things need to be set up in Socket first, or rows in the file will not match:

  • Engagement letter templates: the name in the Engagement Letter Template column must match the name of an existing template.

  • Team members: the Creator Email must belong to an active team member who has accepted their invitation to Socket, and the Owner Email must belong to a team member who exists in Socket.

The same list appears inside the import window under Click for tips to ensure a smooth import.

The expanded import tips panel listing engagement letter templates and team members as things to set up before importing.

Starting an import

  1. Go to Engagement Letters.

  2. Select More Actions, then Import.

The Import Engagement Letters window opens, holding the template downloads, the file upload area, the client creation setting, and the tips panel.

The Engagement Letters page with the More Actions menu open, showing Import and Export.

Filling in the template

Download the template from the import window linked 'template file here'. This gives you a spreadsheet, and template as a CSV here gives you the same columns as a CSV.

The Import Engagement Letters window, with the template file and CSV download links at the top.

The template holds a column for the client's details, the primary contact, the engagement letter templates names from your account, the start date, the creator and owner, and the services covered by the letters in your account.

The engagement letters import template open in a spreadsheet, showing columns for client name, entity type, contact details, engagement letter template, start date, creator email, owner email, and service columns.

Uploading the file

Drag the completed file into the upload area, or select Drop a file here or click to choose one and pick it.

The Import Engagement Letters window, showing the file drop area and the Create new clients without confirmation checkbox.

Below the upload area, Create new clients without confirmation controls what happens to clients in the file that Socket cannot find. When it is selected, those clients are created automatically. When it is left clear, you get the chance to map them to existing clients instead, which covers clients already in Socket under a different name.

The Create new clients without confirmation checkbox, selected, with its description explaining that unmatched clients are created automatically.

With Create new clients without confirmation selected, a client whose name in the file differs from their name in Socket is created as a second, separate client record.

Running the import

Start Import stays unavailable until a file is attached. Select it once the file is in place.

Every engagement letter created by an import is created as a draft only. Importing does not send anything to a client.

Sending imported letters to clients

Imported drafts appear in the list on the Engagement Letters page and can be sent together.

  1. Select the letters using the checkboxes on the right of each row.

  2. Select Bulk Actions, then Send to Clients.

The Engagement Letters page with two draft letters selected and the Bulk Actions menu open, showing Send to Clients.
