Billing Settings If You Don't Use Xero

For practices that don't use Xero: your practice billing defaults, client-level settings, and exporting your billing data.

Written by Si Evans

This guide is for practices that don't use Xero. If you do, follow Configuring your Xero billing settings instead.

Practice billing settings

Find these in Settings > Billing. They're your practice-wide defaults.

Invoice Date: the day of the month invoices are dated.

Invoice Payment Terms: the number of days after the invoice date that payment is due.

Payment terms don't appear on your proposals or engagement letters. If you want clients to see them, add them to your Terms and Conditions or your engagement letter template.

Consolidation: by default each service has its own invoice line. Switch to Yes to put recurring, one-off or multi-entity services on one line instead. Each is set separately.

Alignment fees: choose whether they go on a separate invoice or on the first monthly invoice.

Client billing settings

To give a client different settings, open the client record and select the Invoicing tab, then Settings.

Clients with their own settings

A client's invoice date, payment terms and consolidation settings follow the practice settings until you give that client its own value. Saving the client's settings without changing one of those fields leaves it following the practice.

Each field reads Practice default while it follows the practice, or shows the client's own value once set. To put a client back on the practice setting, pick Practice default again and save.

In Settings > Billing, each setting shows how many clients have their own value for it, such as "3 clients have overridden this default" or "No client overrides". Changing the practice setting won't reach those clients: a client with its own payment terms keeps them, while a client left on the practice default gets the new terms.

Exporting your billing data

You can export your billing data to Excel to use in other systems. There are two exports:

  • Billing Plan: the grid as you see it in Socket

  • Service Analysis: detail per service

Use them for your own reports, or to bring your invoice data into another accounting system.
